Chicago High-End Headshots Terms and Conditions

Individual Session Policy

A prepaid session fee secures the client’s session date and time. The session fee covers the time and expertise of the photographer but does not include any images. Prior to the conclusion of your headshot session, you will select and purchase your final images during the in-studio image review process. Images are purchased separately at $350 per image. Purchased images will be professionally retouched and digitally delivered within five business days.

You may reschedule your session if you notify Chicago High-End Headshots more than 48 hours in advance. Clients are granted one (1) complimentary rescheduling. Additional rescheduling requests will incur a $150 rescheduling fee.

If a client cancels without rescheduling, the session fee is 100% non-refundable. Clients arriving more than 20 minutes late may forfeit their session at the photographer’s discretion, and it will be considered a cancellation.

Group Session Policy

Final schedule, participant count, and onsite logistics will be confirmed directly after booking to ensure the session is structured properly for your team.

The remaining balance will be invoiced after final scope confirmation and is due 48 hours prior to the scheduled session.

A 50% retainer is required to reserve your session date and is non-refundable once the date is reserved.

Reserved production sessions are structured around the agreed scope, participant count, and scheduled production block. Significant changes to participant volume, schedule, location, or project scope after booking may require pricing adjustments.

Additional coverage time requested onsite or beyond the reserved production block will be billed separately.

One complimentary reschedule may be accommodated if requested more than 10 business days prior to the scheduled session, based on calendar availability.

Rescheduling requests made within 7 business days of the scheduled session may require an additional retainer to reserve a new date, depending on the scope of the project and the impact on reserved production time.

If the confirmed onsite conditions, schedule, or participant volume differ significantly from the original agreed scope, Chicago High-End Headshots may require adjustments to the production schedule, session structure, or final project investment.

By reserving your session, you acknowledge and agree to the above terms.

Private Studio Policy (Applies to In-Studio Sessions Only)

Chicago High-End Headshots operates from a dedicated, private home studio designed specifically for professional photography. The studio is separate from the main living areas and is equipped with high-end lighting and equipment to ensure a comfortable and professional experience. Sessions are by appointment only to provide a personalized and distraction-free environment.

Client Comfort & Security

We understand that entering a home-based studio may raise questions about personal security. To ensure client comfort:

• Sessions are conducted in a controlled, professional space dedicated solely to photography.

• Clients are welcome to bring a guest if it helps them feel more at ease.

• We prioritize a safe and respectful environment and maintain professional standards at all times.

Your safety, comfort, and confidence are our top priorities. If you have any concerns or special requests, please feel free to reach out before your session.

Image License Policy

Chicago High-End Headshots retains full copyright ownership of all images created.

Clients are granted a non-exclusive, perpetual license for personal and professional use of delivered images, including company websites, internal communications, social media, marketing materials, and print collateral. Images may not be sold, transferred, or licensed to third parties. This license does not transfer copyright ownership.

Delivered images may not be altered beyond basic cropping without written permission.

Sessions may be photographed or recorded for Chicago High-End Headshots’ portfolio, marketing, and promotional purposes. Clients who prefer not to have their images used for marketing must notify us in writing prior to the session.
